During this unforeseen time with the Coronavirus situation and the closing of our business temporarily we won’t be issuing refunds but we will honour your purchases at a later date when it is safe to do so.
Pre-booked classes must be paid for in advance.
If you have purchased a class pass your booking will automatically be deducted.
Early cancellations – A full refund will be given if you cancel 12 hours before the class is due to start, if you have a single session, class pass or unlimited pass this will automatically be returned to your Wellness account not your bank account.
Late Cancellations – Any cancellations made after this time (within 12 hours of the class starting) will not be credited back to your account or refunded.
We require that you sign into a class 10 minutes before the class starts, if you have not signed in or arrive late your place will be offered to another person who is dropping in and this will be regarded as a late cancellation.
All refunds will be subjected to a £2 admin fee. Refunds for class pass that are unused and bought with 14 days will be subject to a £2 admin fee. We can not give refunds for class passes that are already activated.

Late Cancellations – Any cancellations made after this time (within the 7 days of the course starting) will not be credited back to your account or refunded.
If your course is transferred to a different date the cancellation policy is still held from the original date of booking.
Refunds for courses will be subject to a £2 admin fee.
Pre-booked workshops must be paid for in advance.
Early cancellations – A full refund will be given if you cancel 7 days before the workshop is due to start.
Late Cancellations – Any cancellations made after this time (within 7 days of the workshop starting) will not be credited back to your account or refunded.
Refunds for workshops will be subject to a £2 admin fee.
A non refundable deposit of £100 per person is required to confirm the booking on the retreat.
The full balance must be paid 6 weeks before the start date of the retreat.
Early cancellations – A full refund less deposit (£100) will be given if you cancel 6 weeks before that retreat is due to start.
Late cancellations – Any cancellations made after this time (within the 6 weeks of the retreat starting) will not be credited back to your account or refunded.
Early cancellations – Active Escape Retreats – A full refund will be given 7 days before the event.
Late cancellations – Active Escape Retreats – No refund will be given after 7 days notice.
One to One Appointments
Pre-booked online therapies must be paid for in advance.
Early cancellations – A full refund will be given 48 hours before the time of your booked appointment with an admin fee of £2.
Late cancellations – Any cancellations made after this time (with the 48 hours before your booked appointment) will not be credited back to your account or refunded. If you book without paying upfront and give less than 48 hours notice you will be charged for the full amount.
Booking a Therapy
Online – You can book online using the Book Now link and you will be redirected to our booking site. A deposit of 30% of the full RRP of the therapy will be charged.
App – You can book online using the Mindbody Connect app, you can download this to your phone using the app store. A deposit of 30% of the full RRP of the therapy will be charged.
Phone – If you would like to call to book a therapy slot, we will take your details and pass them to the therapist and they will get back to you to book your appointment.

Paying for your Therapy
If you have booked and paid the 30% deposit for your therapy please bring the remainder of the payment with you to the session in cash and pay the therapist.
If you have booked through the therapist and have not paid a deposit please bring the full payment in cash and pay the therapist.
You can also organise payment through the therapist with a bank transfer.
Term & Conditions for We Are Wellness
If you have booked using the app or the online system –
Early cancellations – Before 48 hours’ notice you will receive a refund of the 30% deposit less an admin charge of £2. Or you can move this deposit to a different time slot booking, with no admin charge.
Late cancellations – After 48 hours’ notice you will not be refunded the 30% deposit.
If you have booked through the therapist via email or phone –

3. WHO DO WE SHARE YOUR PERSONAL DATA WITH?
We do not share your personal data.
Not even with the therapist you’re booking with. If you require a therapist to have your contact information prior to meeting them you will need to give us consent. Otherwise please check the pre-work links on your booking confirmation to ensure the therapist doesn’t need anything completing.
Our booking system MindBody PLC, our email host Google PLC and payment processor Netbanx all work within the GDPR laws and are simply acting as processors for us.
Please note: When accessing social media platforms such as (but not limited to) Facebook, Instagram, Twitter, Pinterest, YouTube and LinkedIn, via our website, you may pass on personal data which is outside of our control.
4. SAFEGUARDING YOUR PERSONAL INFORMATION
We have taken suitable measures to safeguard and secure data collected. We comply with, and safeguard, your rights under the GDPR (General Data Protection Regulation) at all times.
Our data processors, MindBody PLC, Google PLC and Netbanx all work within GDPR law.
We require all third parties that are based at We Are Wellness to work within the GDPR regulations and have clear privacy policies.
5. HOW LONG DO WE RETAIN YOUR PERSONAL DATA?
We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.
By law we have to keep basic information about our customers (including Contact, Identity, Financial and Transaction Data) for six years after they cease being customers for tax purposes.
